In May 2018 the new General Data Protection Regulation (GDPR) is replacing the existing Data Protection Act. The result will be harsher punishments for those who fail to comply with these new rules regarding the storage and handling of personal data – and when we say harsh, we mean it! Fines for non-compliance could be as much as €10 million (£7.9 million) or 2 per cent of an organisation’s turnover.

Every company will be expected to have procedures in place to ensure all data is completely removed when someone requests for it to be deleted. No matter the size of your business, you are expected to comply.

So how does this impact multi-function photocopiers (MFP)?

GDPR rules stipulates that all businesses know exactly what personal data they hold and where it is located. But how does this relate to your photocopier?

Multi-function copiers store a certain amount data on their hard drive, including temporary data after a job is logged. Therefore, there could be sensitive data stored on your copier that is vulnerable to access by unauthorised users or if the hard drive were stolen from the device.
